HR-204 Student Employment Titles

Summary

Student employment titles are limited to employees who are enrolled in and pursuing an academic program at the University of ÃÛÌÇÖ±²¥ System. Student employees should not be scheduled to work more than an average of 28 hours per week across all concurrent university jobs during any measurement period. 1


Policy

Per Collected Rules and Regulations (CRR) 320.050: Employee Status (Amended Bd. Min 10-01-19):

CRR paragraph D:

Student Employees: A University employee that is enrolled as a student at the University of ÃÛÌÇÖ±²¥ and whose primary association with the University is related to the pursuit of an academic program. Because academic pursuit is the primary purpose of the student role, Student Employees should not be scheduled to work more than an average of 28 hours per week across all concurrent University jobs during the measurement period [1] and should be in a student title as described in HR-204 Student Position Titles.

[1] Measurement and Stability Periods are designated by the University in accordance with Section 4980H of the Internal Revenue Code and the regulations thereunder.


Further HR Policy Provisions 

Additional HR-204 policy provisions below in accordance with CRR 320.050:

  1. Criteria for Use of Student Titles
    1. Must be admitted and enrolled as a University of ÃÛÌÇÖ±²¥ student.
    2. Summer enrollment is not required if the student was enrolled during the spring semester or is admitted or enrolled for the fall semester.
    3. Employment does not need to be in their field of study as an undergraduate but may be required for graduate assistantship titles.
  2. Graduate Assistantships Titles - Graduate Assistantships are designed to provide academic and professional work experience for graduate students in exchange for compensation (i.e. Stipend) and tuition remission based on campus standards. Graduate Assistantships are exempt (monthly paid) positions and consistent of the following:
    1. Graduate Instructor Assistantship (Job code 4014)– Instructor of Record with full teaching duties for undergraduate courses.
    2. Graduate Professional Assistantship (Job code 4018) - Administrative, professional, or technical duties which support growth and knowledge related to the student’s field of study and career preparations and are not directly involved with academic teaching or research. Examples include advising students, coordinating student services, librarian/archivist’s duties, and data analytics. 
    3. Graduate Research Assistantship (Job code 4016)– Assist with research activities related to the student's academic program. Examples include conducting experiments, organizing and analyzing data, documenting research results, assist with publication preparation, and may present findings in publications or at conferences.
    4. Graduate Teaching Assistantship (Job code 4017) - Assist with formal classroom and/or lab instructional duties related to the student’s academic program. Examples include leading or assisting with lectures and discussions, managing laboratory sections, quizzes, tutoring, grading, and developing materials. May hold office hours.
  3. Other student titles - The following titles represent non-assistantship positions for undergraduate and graduate students, which may or may not be related to their academic program. All titles below are non-exempt (hourly paid) positions: 
    1. Clerical Student Assistant (Job code 4022) - Perform clerical/office duties such as receptionist, data entry, filing, mail duties, campus deliveries, and other general administrative office support.
    2. Crafts & Service Student Assistant (Job code 4023) - Perform manual labor for the university, which may include food service, warehouse, facility operations, grounds work, equipment operator or other general labor.
    3. Events, Recreation, & Athletics Student Assistant (Job code 4033) - Provide support in areas of events, recreation and athletics, which may include events staff, various camps assistance and support, recreation center support, lifeguards, trainers, fitness instructors, equipment support and other related work.
    4. Healthcare Student Assistant (Job code 6941) - Assist health care staff by performing various tasks, such as clerical duties, data entry, report generation, or managing electronic files. Responsibilities may also include laboratory or research-related activities, equipment cleaning, providing customer service, assisting with scheduling, and handling department-specific assignments.
    5. Information Technology Student Assistant (Job code 4029) – Provide a variety of IT services including troubleshooting system and printer problems, desktop and server-related issues, software installation and compilation, documenting changes to systems, ensuring compliance with department policies regarding computer usage, monitoring daily operation of computing laboratories, and other related responsibilities.
    6. Paraprofessional Student Assistant (Job code 4024) - Perform a wide range of mid-level and above duties that are more complex in nature, such as administrative office support, customer service, retail services, tour guide, exam proctor, communications support, child development/childcare, tutor, and other related work.
    7. Peer Learning Student Assistant (Job code 6669) - Provide support for student learning in an interactive classroom environment. Assist with facilitating small group interaction and other activities that identify and address student difficulties with conceptual content. Act as mentor/role model and assistant to the professor. Assist first year students with adjustment, learning and self-exploration.
    8. Research Student Assistant (Job code 4025) - Perform a variety of research related duties, such as assisting with research projects, conducting research related tests, literature searches, data mining, laboratory support and monitoring, and other related responsibilities.
    9. Student Assistant Professional (Job Code 4080) - Perform a wide range of professional-level responsibilities for the university. Work could include advanced administrative or operational duties that require independent judgment and specialized skills. Some additional work under this title might include project coordination, financial or data analysis, event planning, recruiting, mentoring/training, and other related work.
    10. Student Assistant Supervisor (Job code 4034) - Responsible for providing functional supervision to student workers, including assisting with interviewing and hiring student workers, setting performance expectations, providing performance feedback, scheduling, managing work, and other related tasks. May not approve timesheets or other legal documents. May also perform the same work as those they supervise.
    11. Teaching Student Assistant (Job code 4026) - Provide a variety of teaching-related support duties, such as setting up a laboratory, preparing materials for a discussion section, posting materials online, assisting with recording grades, providing support for the administration of a course and classroom instruction, and other related responsibilities.
    12. Technical Student Assistant (Job code 4027) - Perform non-IT related technical work such as editing, photography, videography, broadcast assistant, desk top publishing, website support, social media support, and lab related work and assistance.
  4. Additional Provisions 
    1. Campuses may develop an expansion of these guidelines to further limit number of hours worked, establish number of hours enrolled, requirements to hold graduate appointments, level of compensation, etc.
    2. If hiring an international student, please review HR-101 for additional limits on the number of hours eligible to work.
